Event Director | Global Adventures by Vacations Races
Full Time | Remote Position | 40% of year global travel
Company Description
Vacation Races sits at the intersection of the running and travel industries hosting half marathons, ultra marathons, and trail running festivals at national parks across the United States.
Global Adventures by Vacation Races, a brand developed in 2019, takes adventurers on all-inclusive week-long running vacations to desirable destinations around the world. Each trip consists of 4-8 miles of daily morning trail runs, complemented by afternoon high-adventure excursions or cultural activities (such as white water rafting, zip lining, glacier trekking, cooking demonstrations, etc). Group meals and drinks are included to offer travelers a pampered experience.
To provide an enriching and memorable trip for our guests, Global Adventures partners with expert local teams in each region to deliver authentic experiences. The majority of staff on the ground at events are local, with the exception of our Vacation Races Event Directors - who are the keystone to the Global Adventures experience and ensure our brand values, customer service, and core concept remains consistent across regions.
Our audience spans a wide range of ages and personalities. While most travelers are in their late 30s to 60s, we have had travelers in their teens up through their 70s! Across the board, travelers represent groups of friends, romantic couples, solo travelers, and family units. We welcome all runners (and fast hikers!) who have varied experience levels with terrain, speed, and endurance.
Position Overview
We’re looking for an experienced Event Director/Tour Operator to join our small but growing team. The new hire would be trained at events by one of our Senior Event Directors (initially participating as Assistant Event Director), then after a few trips would continue to manage their own events. Time away from home (travel, prep, on trips) is estimated at 35-40% of the calendar year including weekends. The role is full-time (no moonlighting) but fully remote so could be based anywhere - the existing Vacation Races team spans ET to PT locations.
Responsibilities
Event Direction
- Travel to and attend ~8 global events (events are 8-9 days each, time in country needed ~10-14 days) as either Assistant Director, to shadow and support the Event Director while training on the job, and then as Event Director, responsible for managing your own events
- Direct and support our local partner teams comprised of: Course Managers, Tour Guides, Photographers, Videographers, Medics, Forerunner/logistics/project coordinators
- Nurture in-country partner relationships
Event Preparation
- Monitor event sign-up #'s within our internal system
- Work with the Marketing Team to ensure they have all correct and relevant trip / destination info to carry out their email communications schedule, update the website, and share content on social media
- Work with the Merchandise Team to ensure they have ordered correct quantities of trip swag
- Work with the Warehouse Team to ensure physical equipment is prepared/ shipped/ taken for all events
- Work with the Customer Service Team to help answer customer queries as needed
- Ensure the accurate upkeep and creation of client facing and internal team trip documentation such as; digital race guide; AllTrails list, interactive Google map, packing list, welcome / farewell presentations, detailed Itinerary/call sheet
- Liaise with local partner teams regarding participant info (dietary requirements, hotel rooming etc) within the 3 months prior to each trip
Post-Event
- Carry out a debrief meeting with the local team and GA Operations Director and Senior Event Director, to document learnings from the event
- Ensure a post-event survey is sent to participants and photos, videos from the event are uploaded and shared (provide Marketing Team with information to distribute this info to travelers)
Required Skills/Experience
- 3+ years proven work experience as an Event Director and/or Tour Operator
- Excellent verbal and written communication skills
- Great presentation skills
- Leadership skills - experience managing small teams
- Risk management
Nice to have experience
- Directing events and/or races outside of the US
- Spanish language proficiency
- First Aid / CPR / AED / Wilderness certifications
- Hiking, running, racing experience on trails
